2003 Annual General Meeting

Notice is given that the 2003 Annual General Meeting of the Association will be held at the Rowing Complex, Lake Karapiro on Tuesday March 25th 2003 starting at 7.00pm. The business will be:

  5. Minutes Previous AGM

Nominations for Life Membership

Notice is given that Nomination for Life membership of the Association close on 10th January 2003. Reference is made to clause 5.2 of the constitution for persons who may be nominated and the process.

Nominations For Office

Notice is given that Nomination for President, Executive Officer, /Hon Auditor and Hon Solicitor close on the 10th February 2003. Persons being nominated for these positions should first be contacted to see if they wish to be nominated.

Remits

Notice is given that remits for discussion at the AGM close on 10th February 2003.

Note: as last year was a rule-change year then remits to change the Constitution, Rules and Regulations cannot be accepted. (Constitution clause 10.6) If a member has a rule change proposal they consider an "Emergency" then they must first submit that proposal to the Executive officer before January 2003 so the Executive can consider if the change qualifies for inclusion in the business of the AGM as a remit.

Application to host 2005 Regatta

Notice is given that applications to host the 2005 Championships close on 10th February 2002. Such application should be made on the form given in Appendix (F)1 of the Constitution.


2003 NZSSRA Championship Regatta

For the calendar: the 2003 regatta will be held at Karapiro starting on Monday 24th March running through to Saturday 29th March 2003. Members should note that Sunday 30th March is an official spare day and this will be used in the event of unavoidable disruptions to complete the regatta. Racing will commence on the Monday morning.

We need not remind schools that accommodation at this regatta will be hard to find and suggest that this should be attended to urgently.

Size of regatta - Karapiro

As it is expected there will again be record entries at the 2003 regatta we ask you to consider carefully the crews you are entering. This regatta has always had an open entry policy and is aimed at not only finding the champion school for each event but also to provide valuable experience for those participating. Bearing this in mind we do on occasion question the multiple entry of crews in certain events, we realise you may consider you have the "winning crew" in an event but to enter four or more crews begs the question "are they all champion crews or just being entered for a row"

Boat and crew transport

We remind those having to cross Cook Strait that there are alternatives to Tranz Rail when it comes to boat trailers. Last year these offered considerable savings so it will pay to get quotes from the shipping providers.

School parties can generally obtain discounts from transport providers so when making booking these should be enquired about.


LIGHTWEIGHT ROWING

The President has asked that all Schools be individually polled regarding the continuation of Lightweight events in the Championships Regatta Programme. As such a Poll form and explanatory note has been attached to this newsletter. To be valid the poll must be signed by the Principal of the school.


Rower Registration Numbers

All rowers who pay any sort of subscription to a registered rowing Club, be it school or otherwise, and all rowers who race in Club regattas must be registered with the NZRA. This is a condition of their constitution but is not always enforced by the NZRA Local Associations.

The file of registered rowers is used at the Schools Championships and other major regattas to enable crew entries to be entered into the Regatta Control Program.

This program is used to manage the regatta and to enable crew based results and programs to be produced. Certain checks are also made when the crew registration numbers are entered; such as whether the rower is of the correct age.

To enable this program to be used at our Championships it is essential that all rowers for your school be correctly registered this should be completed by the end of December.

If you have rowers who do not pay any Club subscription and who have never rowed at a Club regatta then the NZRA Registration form should be completed and be sent to the NZRA accompanied by a declaration from the Club the school is associated with as well as the Local NZRA Rowing Association stating that the rowers are not Club members and have not rowed in a Club regatta.. These rowers will be allocated interim numbers so they can enter the School Championships.

ALL ROWERS ENTERING MUST HAVE REGISTRATION NUMBERS AND THESE MUST BE ENTERED ON THE RELEVANT FORMS ELSE THE ENTRIES WILL NOT BE ACCEPTED

School Colours

It is a requirement of membership of the NZSSRA that all school rowing colours are approved by the Executive Officer. This process should be completed BEFORE singlets are ordered as if there is any clash your choice may be declined.

At last years AGM a rule change was made and Rule 10.1 now enables regatta organisers to disqualify any school NOT wearing approved colours

SO IT IS ESSENTIAL YOU CHECK YOUR COLOURS ON THE WEB PAGE AS THIS LISTS ALL APPROVED COLOURS.

If you colours are not shown or are different to those given then YOU MUST send an application to have your new colours registered. If there is a clash with existing colours then an alternative will have to be found.

TAKE SPECIAL CARE IF CHANGING TO ROW-SUITS AS THESE MAY NOT END UP THE SAME AS YOUR REGISTERED COLOURS. AN APPROVAL FOR THE ALTERATION MUST BE OBTAINED

ALL SCHOOLS ARE ADVISED TO MAKE THIS CHECK AS YOU COULD HAVE BEEN ROWING WITH ILLEGAL COLOURS FOR A PERIOD OF TIME AND THOSE YOU ARE CURRENTLY WEARING MAY HAVE BEEN ALLOCATED TO ANOTHER SCHOOL

If your school is contemplating such a change we remind you it is necessary to send a coloured drawing to the Secretary BEFORE the singlets are made so we can check them before hand. They should only be ordered after this office gives approval.

We suggest that you examine the colours we have on our Web page before submitting new colours to see there is no clash. Please be aware that some colours from a short distance look the same E.g. Navy Blue/Black/Dark Green

Membership Account

The annual account for membership has been sent to schools with this newsletter. This is for $80.00 however if paid before 1st December then the $40.00 discount may be taken.

If any Clubs receiving a copy of this newsletter have started new schools since March or are planning to do so then they should contact the Executive Officer regarding setting up membership for the school and establishing the Schools rowing colours. A current list of schools is given on our web site.
